Natividad is seeking a permanent Management Analyst I in the Materials Management/Contracts department. This position will be responsible for managing hospital assets, managing supply recall notifications, processing contract documents, and managing multiple complex supply inventories, both centralized and decentralized throughout the hospital utilizing an automated supply dispensing system. The incumbent will manage and provide direction to warehouse employees and provide direction to Buyers that support Materials Management and Contracts.

Examples of Duties

  • Analyze, research, gather and interpret information related to hospital medical equipment (both owned and rented equipment) to establish, implement, and maintain an Asset Management program for the hospital.
  • Manage medical supply and equipment recall notifications received by Natividad, working in conjunction with the Quality Department, Biomedical Services staff, and other department Directors as needed to promptly address time sensitive notifications.
  • Manage multiple and complex supply inventories, both centralized and decentralized, including system administration of the hospital-wide automated Pyxis supply dispensing system consisting of approximately 83 separate inventory dispensaries throughout the hospital.
  • Provide leadership and direction to subordinate staff regarding Pyxis system errors and lead or participate in resolution.
    Identify and implement as needed methods for improving stocking efficiencies both within the warehouse and in all other decentralized inventories throughout the hospital.
  • Develop and periodically update policies related to Asset Management, Inventory Management, and Recall Notifications of medical equipment and supplies.
  • Work closely with other managers and staff, both within and outside of the department, to anticipate, obtain, and provide ongoing and accurate information related to supply contracts, consignment contracts, alternate/substitute products, standardizing products throughout the hospital, recalled products, discontinued products, and other medical supply related matters. Interpret and comply with Joint Commission standards pertaining to medical supplies, equipment, contracts and recalls.
  • Research, interpret and comply with local, state, and federal codes, regulations, laws, policies, procedures and guidelines.
    Provide direction to department Buyers with regards to setting up new products within the hospitals ordering system as well as on ordering products and approving possible alternates.
  • Serve as management liaison at meetings, committees, conferences, etc.
  • Manage staff, to include, training, scheduling and performing annual employee work-performance evaluations of all Storekeepers and assist with disciplinary matters.

The ideal candidate will have:

Working Knowledge of: Various types of hospital supplies and the uses; the principals and practices of asset tracking and asset management; the principals and practices of contracting for goods and services, including a basic understanding of contractual terms and conditions; the principals and practices of inventory management; report writing and presentation; principals and processes for successfully training subordinate employees; basic principles and practice s of business administration (preferably hospital business administration).

Skills and Ability to: Analyze and interpret data and information; coordinate a wide variety of activities; identify issues, options and projected outcomes and make recommendations; prepare and present reports, both written and oral; interpret and apply standards, codes, laws, regulations, policies, procedures and guidelines; work independently while under limited supervision, and exercise initiative within established procedural guidelines, and organize and prioritize work to meet established deadlines in a timely manner; work cooperatively and tactfully with others; attend and serve as management liaison at meetings, committees, etc.
